Operations Manager
Position Overview
The Operations Manager supports the systems, operations, administration, events and day-to-day activities of CJA and its campaigns. The Operations Manager will work as part of the Operations team, and will report to the Operations and Technology Director.

Climate Justice Alliance (CJA) was formed in 2013 to create a new center of gravity in the climate movement by uniting frontline communities and organizations into a formidable force. Core Responsibilities
Office Management (30%)
- Manage the day-to-day needs of all CJA offices (L.A. and D.C.), including but not limited to coordination around utilities, rental renewals and agreements, and vendor communications.
- Monitor and maintain CJA’s main office phone line and shared email accounts, and ensure all incoming communications are directed to appropriate staff.
- Monitor and maintain the Rad Ops Team’s digital filing system, ensuring it is organized and current.
- Pick up paper mail and checks 3x per week and scan/deposit/and file checks, and scan/file/and disseminate CJA’s paper mail to appropriate staff on a weekly basis.
- Purchase equipment/supplies as needed, and maintain storage units, including an accurate inventory of office supplies and CJA swag.
- Coordinate shipping and receiving of all supplies for general office needs, events and gatherings.
Collaborate closely with Rad Ops Team members to provide additional administrative support as assigned, including:
- Support for recurring internal finance functions, such as account coding and receipt collection for Ramps corporate cards, and maintaining accurate staff phone/internet reimbursement agreements and receipts;
- Support for human resource functions, such as providing hiring committees with support as needed, supporting with employee onboarding tasks, supporting with payroll, state compliance, or employee changes processing when needed, and coordinating staff appreciation and welcome package purchases and shipments.
- Support for recurring operations and tech functions, such as entering new contacts and information into CRM to ensure accuracy of records.
- Attend Rad Ops team meetings and participate in annual work planning and budgeting processes with a focus on travel and logistics areas.
Oversee Event Logistics and Travel Work Area 30%
- Supervise Logistics Coordinators and oversee CJA logistics coordination to ensure successful execution of CJA events.
- Maintain and improve upon current staff trainings, tools, and systems, including Amtrav, guidance in the Operations Manual, logistics templates, and procurement, in consultation with their supervisor and team.
- Maintain the CJA event tracker and ensure that events are reflected on the staff calendar and in any other relevant tracking spaces needed to support ReMo or other programs.
- Collaborate with the HR Director and to ensure adherence to CJA’s travel policies and covid safety protocols, including waiver and COVID Vaccination record management.
- Act as primary point of contact for staff who have questions about events, travel systems, or logistics best practices.
- Implement logistics for events as assigned, including:
- Creation of centralized logistics dashboard, budget, and projects/checklists in project management platform for each event to ensure clear communication across teams;
- Requesting and tracking payments as needed for events using finance deadlines and relevant technical systems. Code travel payments on the CJA travel credit card.
- Coordinate interpretation, translation, and other language justice resources
- Coordinate other disability justice resources as needed to support event accessibility
Build Healthy & Sustainable Organizational Work Culture and Other Responsibilities (10%)
- Along with all other staff, this position contributes to CJA’s culture of innovation, teamwork, and continuous learning. They work diligently to collaborate and support each other within and across teams and excel in an environment where every member takes care of their own basic administrative needs.
These tasks represent baseline responsibilities for this position. As CJA grows, there will be possibilities (and sometimes the need to) move into new accountabilities and areas of work.
Supervisory Responsibility
The Operations Manager supervises two Logistics Coordinators and will supervise any other logistics or systems-support coordinators if hired.
Expected hours of work
Standard days and hours of work are Monday through Friday, 8 a.m. to 6 p.m in your time zone. Daily schedule is flexible within the proximity of this time frame, and will be decided in consultation with the employee’s supervisor.
Travel
Moderate domestic travel (2-4 times per quarter) for meetings or conferences would be required for this position.
Physical duties of this role: Ability to work at a computer and participate in video conferencing, speaking and typing for extended periods of time. Ability to pick up mail and packages from a local USPS location, file and scan papers, and manage our LA storage unit and supply inventory. This may include lifting items (not in excess of 25 lbs.).
Occasional physical duties: Responsible for logistics during travel or onsite in LA. This may include lifting items (not in excess of 25 lbs.), coordinating meals/catering, and driving. (CJA is willing and able to make reasonable accommodations for candidates who may not be able to fulfill these tasks).
Essential Knowledge, Skills and Experience
- At least 3 years of experience in detail-oriented operations management work with a nonprofit organization;
- At least 2 years of staff supervision experience;
- Strong organizational skills and ability to prioritize, problem-solve, and manage competing demands in a remote work environment;
- Strong command of online systems, and ability to quickly learn and utilize new CJA platforms;
- Excellent professionalism and judgement, and capacity to maintain confidentiality with high level internal documents;
- Ability to switch between detail-intensive data processing and supportive relationship-based interaction with ease;
- Ability to manage and make progress on multiple fast-paced logistical projects simultaneously;
- An orientation towards learning and development; willing to learn from mistakes, receive feedback, and give feedback to others;
- Agreement with and commitment to CJA’s mission and values.
Preferred Knowledge, Skills and Experience
- Some CRM database experience is strongly preferred, (CJA uses Powerbase).
Position Type and Compensation
- 100% FTE, exempt position. The annual salary for this position is $90,000.
